Title: Administrative Assistant – Mental Health and Addiction Care

Location: Kingston General Hospital Site
PRIMARY FUNCTION
The Administrative Assistant will report to the Program Operational Director of Mental Health and Addiction Care and support the leadership team of the Mental Health & Addiction Programs across both sites. The employee is accountable for contributing to the delivery of the Kingston Health Science Centre (KHSC) strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do. The Administrative Assistant adheres to worker responsibilities as set out in the Occupational Health & Safety Act, hospital safety policies, and dept/unit established procedures at all times. Within this role the employee is accountable for contributing to the delivery of the KHSC strategy.
RESPONSIBILITIES & DUTIES INCLUDE:
  • Provide confidential and administrative support to the Program Operational Director and the rest of the leadership team within the portfolio.
  • Responds to confidential enquiries/concerns from internal/external customers, handling and appropriately directing any issues with the intention of successful outcome.
  • Provides data entry for multiple operational processes; preparing reports as needed.
  • Provides Administrative support for the program with minimal direction.
  • Exchanges of information with internal and external contacts.
  • Advise staff within the portfolio on administrative processes, provide SAP information and reports to the Program Operational Director and Program Managers as required.
  • Make recommendations to staff within the portfolio on editorial, format, administrative processes and scheduling.
  • Streamline and organize processes to assist in efficient paper flow.
  • Investigates and corrects issues with reports, system access and other administrative issues.
  • Assists the Program Director and Managers in meeting short turnaround times in various ways (i.e. capital equipment requests, budget reports) and resolving issues (i.e. scheduling, time verification problems).
NOTE - The above duties are representative but are not to be construed as all-inclusive.
BASIC QUALIFICATIONS:
  • College Diploma in Business Administration or equivalent education and or experience
  • Minimum 3 years administrative experience in a health care setting
  • Demonstrated experience with Microsoft Office particularly (MS Office to be tested).
  • Minimum of 55 w.p.m. upon testing.
  • Experience with clinical data base applications required
  • Experience of Continuous Quality Improvement practices would be an asset
  • Demonstrated ability with above average written and verbal communication skills, including good grammar, composition and spelling.
  • Evidence of strong organizational skill with the ability to work under pressure and meet deadlines is essential.
  • Must have excellent interpersonal skills with demonstrated ability to communicate effectively, courteously and tactfully with all types of people.
  • Proven ability to attend work regularly.
  • Satisfactory criminal reference check required.
